# Tracking Customer Receivables and Outstanding Invoices

> Use Kuvera Arc's Accounts Receivable module to monitor unpaid customer invoices, track payment progress, review overdue balances, and export reports.

Accounts Receivable shows what customers owe your business. Every Sales Invoice creates a receivable balance, and Kuvera Arc updates that balance as customer payments are recorded.

  Accounts Receivable does not create invoices or record customer payments directly. It tracks balances from Sales Invoices and updates when payments are recorded elsewhere in Kuvera Arc.

## How Accounts Receivable works

<Tabs>

    Sales Invoices create receivables.

    When you issue a Sales Invoice, Kuvera Arc records the full invoice amount as an outstanding receivable. The invoice date, due date, and customer details are carried into Accounts Receivable automatically.

    Customer payments reduce receivable balances.

    When a payment is recorded against an invoice, the receivable balance decreases. Kuvera Arc updates the payment history, outstanding balance, and invoice status.

  <Tab title="Partial payments">
    Partial payments keep the remaining balance open.

    If a customer pays part of an invoice, the unpaid balance remains visible in Accounts Receivable until fully settled.

  <Tab title="Completed payments">
    Fully paid invoices are marked as completed.

    Once an invoice is paid in full, its balance becomes zero and it no longer appears as an active outstanding receivable.

## Access Accounts Receivable

## Accounts Receivable listing

The listing page displays customer receivable records in a structured table. Each row represents one Sales Invoice and its current payment status.

    Customer associated with the receivable record.

    Sales Invoice reference number. Select it to open the original invoice details.

    Date the Sales Invoice was issued.
  </Card>

  <Card title="Credit Amount" icon="hand-holding-dollar">
    Credit or receivable amount associated with the customer.
  </Card>

  <Card title="Bill Amount" icon="money-bill">
    Total value of the Sales Invoice.
  </Card>

  <Card title="Payment Record" icon="money-bill-transfer">
    Amount already paid by the customer against the invoice.
  </Card>

  <Card title="Due Date" icon="calendar-check">
    Date by which full payment is expected.
  </Card>

  <Card title="Status" icon="circle-check">
    Current invoice or payment status, such as unpaid, partial, or completed.
  </Card>

  <Card title="Balance Amount" icon="scale-balanced">
    Remaining amount still owed by the customer.
  </Card>

## Table totals

The bottom of the table shows totals for the records currently visible.

  Totals update dynamically when filters are applied. The data count indicator shows how many records are currently visible.

## Filter receivable records

Use filters to focus on specific customers or invoice date periods.

    Click **Filter Data** on the Accounts Receivable Listing Page.

    Apply a date range, customer filter, or both.

    Click **Apply Filter** to update the listing, or **Clear** to remove all conditions.

  Combine **Customer** and **Date Range** filters to review what a specific customer owes during a selected period.

## Export receivable records

Use export to download receivable data for reporting, overdue analysis, cash flow tracking, or documentation. Exporting does not modify records.

    From the Accounts Receivable Listing Page, click **Export Data**.

    Select **Full Export** or **Current View Export**.

    Choose **XLSX**, **PDF**, or **CSV**.

  <Step title="Download the file">
    Click **Export Data** to generate and save the file. Use **Reset** to clear selections.

    Downloads every Accounts Receivable record in the system. Active filters, search terms, and date range settings are ignored.

## Common questions

  <Accordion title="Why is a paid invoice still outstanding?">
    Make sure the customer payment was recorded against the correct invoice. Accounts Receivable updates automatically when a payment is saved. If the balance has not changed, the payment may be linked to another invoice or may not have been saved successfully.

  <Accordion title="How do I identify overdue invoices?">
    Review the **Due Date** column. Any invoice with a past due date and remaining balance is overdue.

  <Accordion title="Can I see full payment history?">
    Yes. Select the **Invoice Number** to open the Sales Invoice Details Page, where you can review payment history and transaction details.

  <Accordion title="How are table totals calculated?">
    Totals are calculated from the records currently visible in the listing. Filters update the totals to match the filtered records.
  </Accordion>

  <Accordion title="What does partial status mean?">
    A **partial** status means the customer has made at least one payment but has not paid the full invoice amount. The remaining balance stays open until fully settled.
