Manage and Organize Supplier Records in Kuvera Arc
Learn how to create, import, view, and manage supplier records in Kuvera Arc to support accurate purchase workflows and supplier tracking.
Suppliers are required for purchase workflows in Kuvera Arc. Before you raise a purchase order, record a bill, or process supplier-related activity, create a supplier record so purchase documents and supplier history stay organized.
Create a supplier record from the Suppliers listing page. Supplier records store contact details, tax identification, credit details, and payment information used throughout purchase workflows.

Open Suppliers
Go to Purchase > Suppliers.

Click Add Supplier
Click Add Supplier in the top-right area of the page.

Enter supplier information
Fill in the required fields and any optional details relevant to the supplier.

Add secondary contact if needed
Enable Add Secondary Contact Info if the supplier has an alternate contact person or communication channel.

Save the supplier
Click Save Supplier to create the supplier record.
Once saved, the supplier appears in the listing and becomes available in purchase orders, bills, and related workflows.
Primary Contact Number — main phone number for the supplier
Primary Contact Person — main contact person at the supplier
Primary Email Address — main email address for the supplier
PAN Number or VAT Number — at least one tax identification field is required

Credit limit
Payment terms

Supplier location

Secondary email address
Secondary phone number
Secondary contact information
Enable Add Secondary Contact Info to add alternate contact details.Use this when the supplier has another contact person, department, phone number, or email address for communication.
You must provide either PAN Number or VAT Number to complete supplier creation.
Use Import Suppliers when migrating supplier data or adding many suppliers at once.

Open Suppliers
Go to Purchase > Suppliers.

Click Import Suppliers
Click Import Suppliers on the listing page.

Upload your file
Upload the supplier spreadsheet file.

Match column headers
Map spreadsheet column headers to the corresponding Kuvera Arc supplier fields.

Verify field mapping
Confirm that spreadsheet values are mapped to the correct supplier fields.

Finalize the import
Complete the import to add all mapped supplier records.
Download and use the sample import file if you are unsure about the required spreadsheet format.
Common import mistakes
Check for missing required fields, incorrect formatting, mismatched headers, duplicate supplier records, missing PAN or VAT information, and incomplete contact details before importing.
Use the actions menu on the Supplier Details page to manage supplier records.

Opens the Add Purchase Order page with this supplier pre-selected.Use this shortcut to raise a purchase order without leaving the supplier profile.
Opens the supplier edit form so you can update contact details, tax information, credit limit, payment terms, or other supplier fields.Changes are reflected across purchase-related modules that reference the supplier.
Marks the supplier as inactive.A disabled supplier:
Cannot be selected in new purchase orders, bills, or related workflows
Remains visible in inactive supplier listings
Retains purchase history, transactions, and logs
Disabling a supplier prevents future use in purchase operations. It does not delete the supplier or remove historical records.
